This guide will walk you through the process of creating an event ticket, adding questions for attendees, purchasing tickets, and managing responses.

Creating an Event Ticket

If you need to create a basic event ticket, such as for an end-of-season celebration, follow these steps:

  1. Navigate to the Create section in your event management system.
  2. Select the Ticket option.
  3. Fill in all the relevant details for the event, including the name, date, location, and any other required information.
  4. Once all the details are entered, save the ticket.

This will create a standard ticket that attendees can purchase without additional requirements like answering questions.

Creating a Social Event with Tickets and Custom Questions

For social events where you need attendees to answer specific questions before purchasing their tickets, follow these steps:

  1. Select Add Event and choose Social as the event type
  2. Fill in all the necessary details
  3. Enable the Required Ticket toggle to ensure that attendees must obtain a ticket to participate.
  4. If you have a limited number of spaces available, specify the maximum number of attendees.
  5. If payment is required, enable the Pre-payment Required option.
  6. Add the appropriate ticket type to the event.
  7. To collect additional information from attendees before they purchase a ticket, select Pre-purchase Questions. This allows you to add custom questions that attendees must answer before completing their booking.

Adding Questions to Your Event

Once you enter the Pre-purchase Questions section, you will have two options for adding questions:

  • Use Pre-existing Club Questions: If your club already has a set of standard questions (such as dietary preferences or T-shirt sizes), you can select these and copy them directly into the event questions by clicking Copy to Event Questions.
  • Create Custom Event Questions: If you need event-specific questions, such as menu choices or attendee preferences, you can create them here.

For example, if you are organizing a dinner event, you may want to add questions allowing attendees to select their meal preference (e.g., vegetarian, chicken, fish). You can customise these questions in the same way you would edit registration form questions, adding multiple-choice options if needed.

Once you have added all the necessary questions, click Done to save them.

Reviewing & Setting a Deadline for Questions

  • After adding questions, you will see a summary of all the questions associated with the event.
  • You can preview what attendees will see by selecting the Preview option.
  • If you need attendees to answer the questions by a certain date (for example, if menu selections need to be finalised a week before the event), you can set a Questions Deadline. To do this, click the Calendar icon and select the deadline date.

Buying a Ticket & Answering Questions

Once the event and ticketing options are set up, attendees can purchase their tickets and answer the required questions by following these steps:

  1. Go to the event page where the tickets are available.
  2. Select the + icon to add tickets for the users you want to book for (this could be yourself or others).
  3. Click Book to proceed with the purchase.
  4. A pop-up window will appear prompting you to answer the pre-purchase questions. Click OK to continue.
  5. Answer all the required questions in the form provided.
  6. Once you have completed the questions, you will be directed to the payment section.
  7. After successfully making the payment, you will be able to review your responses by selecting the Questions tab on your booking.
  8. If you need to make changes to your answers (for example, if you selected the wrong menu option), you can click the Pencil icon to edit them.

Viewing Ticket Purchases & Responses

Event administrators can review ticket purchases and attendees' responses by following these steps:

  1. Navigate to the event and select the Summary tab.
  2. Click on Payments to view a list of attendees who have completed their payment.
  3. To review attendees’ responses to the pre-purchase questions, select Review Questions. This will display a table containing all user responses.
  4. If an attendee needs to change their answer (for example, switching their meal choice from chicken to vegetarian), an admin can click the Pencil icon next to the attendee’s name and update their selection.
  5. To see only the responses of attendees who have completed their payment, go to the Paid tab. Paid attendees may also be indicated by a colour-coded status next to their name.
  6. If you need to download a report of all attendees’ answers, click the Download icon. This will generate a file containing the collected responses, which can be used for event planning purposes.

Do I need to add questions to all ticketed event?

No, adding questions is optional. If your event does not require additional information from attendees, you can create a standard ticket without questions.

How do I create an event that requires attendees to answer questions?

Select Add Event and choose Social as the event type > Enter event details and enable the Required Ticket option > Under Pre-purchase Questions, add your custom or pre-existing questions.

Can I use pre-existing questions instead of creating new ones?

Yes, if your club has pre-set questions (e.g., dietary restrictions), you can copy them into the event questions by selecting Copy to Event Questions.

How do I set a deadline for answering questions?

After adding questions, click the Calendar icon and select a deadline. This ensures that responses are collected in time for event planning (e.g., finalising meal choices).

Can attendees edit their answers after purchasing a ticket?

Yes. They can go to the Questions tab in their booking and click the Pencil icon to modify their responses.

Can event admins edit attendee responses?

Yes, admins can update attendee answers (e.g., changing a meal choice) by clicking the Pencil icon next to an attendee’s name.
