Step 1: Prepare Your Xero Account

Before connecting Teamo to Xero, you’ll need to organise your Xero account to accommodate revenue, costs, and other transactions associated with your club. Here's how:

1. Create or Log In to Your Xero Account

  • If you don’t already have a Xero account, create one at Xero's website.
  • Once your account is set up, log in to access the dashboard.

2. Navigate to the Chart of Accounts

  • From the dashboard, click on Accounting in the main menu.
  • Select Chart of Accounts from the dropdown list.

3. Add Revenue Accounts

  • In the Chart of Accounts, click Add Account to create a new revenue account.
  • Fill out the following details:
  • Account Type: Choose "Revenue" or "Sales" based on your preference.
  • Code: For example, enter "MF1" (Match Fees).
  • Name: Provide a descriptive name, such as "Match Fees."
  • Ensure the checkbox for Enable Payments to this Account is ticked.
  • Click Save to add the account.

4. Add Cost Accounts (e.g., Teamo and Stripe Fees)

  • Repeat the process to create accounts for direct costs like Teamo fees:
  • Account Type: Direct Costs.
  • Code: Example: "TF1."
  • Name: Example: "Teamo Fees."
  • Tick Enable Payments to this Account.
  • Click Save to confirm.

5. Add an Account for Stripe Income

  • Create a new account specifically for Stripe transactions:
  • Account Type: Current Liability.
  • Code: Example: "STBANK."
  • Name: Example: "Stripe Income."
  • Tick Enable Payments to this Account.
  • Click Save to finalise the setup.

Step 2: Establish the Connection Between Teamo and Xero

1. Log into Your Teamo Account

  • Access your Teamo account and navigate to the Manage section.
  • Select Accounting Software from the available options.

2. Connect Teamo to Xero

  • Click Connect Account and follow the prompts:
  • You’ll be redirected to Xero’s login page. Enter your credentials to authorise the connection.
  • Once connected, click Continue and then Connect to finalise the integration.
  • After the connection is successful, refresh your Teamo account to enable configuration options.

Step 3: Configure Account Mappings in Teamo

1. Map Payment Accounts

  • In Teamo, go to the Map Payment Accounts section.
  • Click Add Mapping and enter the following details:
  • Account Code: Select the Stripe/GoCardless account where funds are received.
  • Xero Account: Choose the "Stripe Income" account created earlier.
  • Click Add Link to save the mapping.


2. Map Direct Costs

  • Navigate to the Map Direct Costs section in Teamo.
  • Click Add Mapping and complete these fields:
  • Account Code: Choose the account code for costs, such as Teamo fees.
  • Xero Account: Select the corresponding Xero account, e.g., "Teamo Fees."
  • Click Add Link to finalise.

3. Link Products to Accounts

  • Go to Link Products to view a list of your club's products.
  • For each product, select the appropriate Xero account code and click Add Links to establish the mapping.
  • Note: You can also link products directly when editing items in the Club Products section.

Step 4: Review Mapped Accounts and Linked Products

Once mappings are complete, review your setup to ensure everything is functioning correctly:

  • Xero-Registered Accounts: Check the list of Xero accounts visible in Teamo.
  • Product Mapping: Verify that all club products in the Club Products section display their associated Xero account codes.

Step 5: Manage Payments and Invoices in Xero

Now that Teamo and Xero are fully integrated, you can efficiently manage payments and invoices. Here's how:

1. Track Payments

  • When a user pays for a club item (e.g., match fees), the transaction will automatically appear in Xero.
  • To view payments:
  • Log into Xero and go to Business > Invoices.
  • Here, you’ll see all paid invoices, complete with amounts and details.
